Privacy Policy

This policy explains how Scheme Rangu handles personal information when adult teachers and authorised staff use our website, applications, planning tools, Academy, payments and support.

1. Who is responsible

Scheme Rangu is the controller responsible for the personal information described in this policy.

Privacy contact: admin@schemerangu.com or +263 772 340 070. Scheme Rangu operates in Zimbabwe.

2. Information we collect

  • Account and professional details: name, email address, school, account role and any optional phone or professional details you provide.
  • Teacher work: schemes of work, lesson plans, exercises, tests, answer keys, timetables, media and related drafts or exports.
  • AI editor improvement records: redacted edit instructions, the selected document section, whether the request succeeded, failed or made no change, and whether the resulting edit was undone, saved or downloaded.
  • Workshop interest: submitted contact details, online or in-person preference, town, contact permissions and our follow-up notes. We also record landing-page steps, campaign tags and channel-link clicks to understand registration drop-offs; we do not capture unsubmitted names, emails or phone numbers. Visit records are scheduled for removal after 90 days.
  • Academy information: enrolment, progress, submitted evidence and certificate-verification records.
  • Payments and access: package, amount, token balance, payment status and transaction or receipt references. Scheme Rangu does not receive your full payment-card or mobile-money credentials from Paynow.
  • Support and security: messages, attachments, sign-in and activity timestamps, device or browser information, push-notification token where enabled, and logs needed to prevent abuse and keep the service reliable.
  • Local device data: essential browser or application storage used for sign-in, drafts, recovery and performance caches.

Name, email and password are required to create an account. The standard teacher registration also asks for a school; workshop registration does not. Without the required account details, we cannot create or secure the account. Other fields are optional unless clearly marked otherwise.

3. How and why we use information

We use personal information to create and authenticate accounts, provide and save teacher tools, deliver Academy services, process payments and entitlements, provide support, communicate service information, protect the platform, prevent fraud, comply with law and improve reliability.

Workshop contact details are used for the follow-up channels you choose. You can change these permissions on the workshop registration page. Authorised staff can compare registration activity with subsequent account use and payments to assess outreach; channel clicks do not tell us whether you followed the WhatsApp channel.

Processing is limited to what is necessary to provide the service you request, meet legal duties, protect Scheme Rangu and its users, or act on valid consent where consent is appropriate. We do not sell personal information. We use Meta Pixel to measure advertising visits and completed registrations, enquiries, checkouts and purchases. Our Advertising privacy notice explains what is shared and how to opt out. Opting out does not affect teaching tools or payments.

4. AI-assisted teacher tools

AI features are used by adult teachers to prepare editable teaching materials and timetable suggestions. The teacher remains in control and must review and edit output before saving, exporting or distributing it.

Edit with AI instructions and technical outcomes may be reviewed by authorised Scheme Rangu administrators to correct failed or misunderstood editing requests and measure feature cost. We do not store the complete document in this improvement log, and direct identifiers detected in the instruction are removed before storage.

We minimise prompts and exclude unnecessary account metadata. Do not enter learner names, contact details, marks, submissions, health information, passwords, payment credentials or other identifiable or sensitive information about another person into AI prompts, teacher-content fields or support requests.

5. Learner and family information

Scheme Rangu does not provide learner, parent or family accounts and does not intentionally collect identifiable learner or family records. Teachers create general educational materials and distribute them outside Scheme Rangu using their own approved school processes.

If we discover personal information about another person that should not be in the service, we may restrict access and delete or de-identify it.

6. Providers and sharing

We share only the information needed for an approved service with providers supporting cloud hosting, authentication, database and file storage, AI assistance, payments, email, messaging, video delivery and technical operations. Current services include Google Cloud and Firebase, Google Gemini, Paynow Zimbabwe, Namecheap Private Email and YouTube.

We may also disclose limited information when required by law, to investigate abuse or a security incident, to protect rights and safety, or during a properly controlled business reorganisation. Providers and authorised staff may process information only for approved purposes.

When you choose to open WhatsApp support or play a YouTube Academy video, that provider may receive technical information under its own privacy terms.

7. Processing outside Zimbabwe

Core account services process information outside Zimbabwe. Google Cloud and Firebase process account, authentication, teacher-work and technical data in South Africa, the United States and other disclosed Google locations; paid Gemini processes minimised teacher prompts and generated output using Google's global infrastructure; and Namecheap Private Email processes support and administration email in the United States. YouTube may process playback data globally when you choose to play a video, and WhatsApp may process a support message globally when you choose to open that service.

Before account creation, Scheme Rangu asks separately for express consent to the overseas processing needed for the signed-in service. Existing account holders are shown the same current notice before continuing. The recorded choice identifies the notice version, source and time. Because cloud authentication, storage and AI are core parts of Scheme Rangu, withdrawing or declining this consent means we cannot provide the signed-in platform; you may sign out, contact us or delete your account.

Scheme Rangu limits information transferred, reviews provider location and subprocessor information, uses contractual and security safeguards, records purpose and retention, and maintains deletion and provider-exit processes. Regulatory authorization is handled separately and is not replaced by user consent. You may ask the privacy contact for more information about relevant safeguards or to withdraw your consent.

8. Retention and account deletion

  • Account details and teacher-owned work are kept while the account is active and are deleted through the verified account-deletion process.
  • Temporary generation-recovery data is limited to a maximum of 24 hours.
  • AI editor improvement records are kept for up to 90 days, then automatically deleted.
  • Support records are normally kept for up to 24 months after the matter closes.
  • Security logs are normally kept for up to 12 months, unless needed for an active investigation or legal duty.
  • Payment and accounting records are normally kept for six years from the final transaction entry, with a longer period only where a documented legal hold applies.

You can permanently delete your account in Account settings. Scheme Rangu verifies your password and confirmation, deletes the account and user-owned operational records without avoidable delay, and removes direct identifiers from completed transaction facts retained for up to six years. An unresolved payment, legal hold or security investigation may delay only the affected part of deletion.

9. Security

Scheme Rangu uses authentication, role-based access, server-side authorisation, restricted privileged access, protected secrets, provider encryption, logging, incident response and tested deletion controls. No online service can promise absolute security, so please use a unique password and report suspected account misuse immediately.

10. Your rights

You may ask to be informed about use of your information, access it, correct inaccurate or misleading information, object to processing, or request deletion where applicable. You may also withdraw consent for an optional activity without affecting earlier lawful use.

Send requests to admin@schemerangu.com. We will verify identity proportionately, search relevant systems, respond securely and explain any lawful limitation. You may also complain to Zimbabwe's Data Protection Authority, POTRAZ.

11. Changes and contact

We review this policy at least annually and after material changes to the service, information, providers or law. We will publish an updated effective date and give appropriate notice of material changes.

Questions may be sent to admin@schemerangu.com or +263 772 340 070. See also our Terms of Use.
